What to Track on Every Consigned Item Before It Sells
A practical item intake checklist for owner, condition, photos, price terms, split basis, storage, and payout readiness.
Good consignment records start before the item sells. Intake proof protects the seller, the consignor, and the future payout conversation.
Owner and terms
Attach every item to the consignor who owns it. Store the agreed consignor share, seller commission, and whether fees come out before the split.
Condition and proof
Use condition notes that would still make sense months later. For collectibles, include box wear, sticker variants, accessories, grading details, and photo proof.
Pricing and storage
Track asking price, minimum price, and storage location. These fields save time when a buyer asks questions or a consignor checks status.
Status language
Use precise item statuses. Sold - payout needed is clearer because it tells the operator the item is no longer active inventory.
